Are you an experienced Administrator looking for an exciting new role?

Our client, an established civils engineering firm, are seeking an Administrator to join their expanding team in South Lanarkshire, and are looking for the perfect candidate to fill this busy role.

Previous front of house/admin experience is required however, training will be given.

Duties include:

Front of House

  • Answering the phone
  • Signing visitors and staff in and out of the office, issuing visitor badges and ensuring vehicles are recorded as entering the facility.
  • Visitor greeting and briefing on necessary information.
  • Directing visitors to the relevant department and/or individual
  • Signing for deliveries and ensuring they are sent on to the right department
  • Advise all visitors of housekeeping and infection control measures

Signal

  • Ensuring training is up to date on Signal (Training will be provided)
  • Update competencies and add new competencies in real time
  • Report to recruitment team competencies due to expire on a weekly basis
  • Check Signal for upcoming assessments and notify recruitment and training team
  • Update and add new employees to Signal
  • Create and send rosters for all operatives

Resourcing

  • Learn role of Resourcer (Training will be provided)
  • Assist Resourcing Team as and when required

Filing

  • Create digital records of all contractor induction packs and all associated documents.
  • Efficient filing of all paperwork securely in line with GDPR

Compliance

  • Ensure completion of all induction packs and filling of relevant spreadsheets based on this information. E.g. Contacts list, Matrix, Driver checks. And file both digitally and on paper.
  • Ensure contact list is kept up to date including current contact number, companies house check, home postcodes, etc.
  • Ensure contact list mirrors sentinel e.g. Primary and sub sponsored.
  • Ensure all areas of your work are audit ready at all times – monthly mini audits will be carried out.
  • Abide by Health and Safety protocols within the office.
  • Assist the senior administrator and compliance manager for audit preparation

PPE/Stores

  • Maintain records of current stock levels of PPE, office supplies and plant, and notify office manager of low stock levels.
  • Maintain records of PPE and plant supply to contractors/staff
  • Maintain master equipment register and identify calibrations and maintenance needs

Administrative duties

  • Ad hoc administrative duties for other members of staff when necessary.
  • Creates and sends the site-based timesheets.

Wages Preparation

  • Ensure the internal timesheets are accurate for the wages. Hours, Rates, and competence

Minimum Competency Requirements:

  • Computer Literate
  • Good Communicator
  • Full Drivers Licence
